The EVP Executive Assistant plays a key role in the success of the Branch and has an ongoing role in supporting the Branch/District offices.
 
This overview is a general summary of the EVP Executive Assistant workflow and responsibilities may change as a percentage of workflow and/or be revised as business conditions dictate.     
 
EVP Support – 80%
Provides a full range of administrative and/or secretarial services to the Executive Vice President (EVP) of the Branch.
 
  • Actively manage and maintain Executive's calendar, troubleshoot and resolve conflicts.
  • Coordinate all logistics (reserve rooms, arrange video and WebEx interactions, order food, draft and send invitations) for special team events, quarterly team meetings, team building events, Leadership off sites, etc.
  • Process travel and business expense reports, purchase orders for procurement of services/supplies and invoice payments.
  • Composes correspondence and documents of a highly confidential nature, as needed.
  • Composes Branch correspondence and manages Branch calendar.
  • Notes commitments made by the Executive during meetings, and monitor to ensure completion of follow-ups.
  • Arrange/coordinate travel for the Executive and other team members.
  • May prepare agendas and meeting briefings for the Executive.
  • Demonstrates the ability to multi-task and is responsible for project coordination for small routine projects.
  • Organize and prioritize large volumes of information, inquiries, requests and phone calls
  • Seeks to streamline processes to improve productivity and/or reduce costs.
  • Demonstrates a proactive orientation; organizes work effectively to ensure ample time to achieve results.
  • Able to gather and analyze data when required for correspondence and/or presentations.
  • Provide Executive with key Branch reports and data as needed.
  • Manages incoming phone calls for Executive as well as Branch operator phone messages.
  • Summarizes contents of incoming materials requiring knowledge of technical matters.
 
District Support – 15%
Provides special project support to the Central Florida Districts.
 
Operations – 5%
Supports the Central Florida Branch in various operational capacities including, but not limited to Facilities and Core Operations.

 


Qualifications
  • 2+ years of experience supporting an Executive team member
  • Intermediate level of problem solving skills
  • Research and data gathering ability
  • Analytical skills
  • Ability to read and interpret documents
  • Exhibits professionalism and ability to maintain strict confidentiality
  • Strong organizational skills
  • Excellent verbal and written communication skills with excellent proofreading ability
  • Ability to prioritize tasks and manage multiple projects
  • Advanced knowledge and application of Microsoft Office Suite
  • Independent thinker
  • Industry knowledge preferred but not required
