MAIN PURPOSE OF JOB:

       Responsible for daily administration & maintenance of SwP “Portfolio Management System” (PMS)

       Provide support for lead/campaign/orphan management

       As back up for sales support functions

      Prepare manual client “Portfolio Review Report” for policy review

Database maintenance & Management reporting



KEY ACCOUNTABILITIES:

§  Responsible for daily administration & maintenance of SwP “Portfolio Maintenance System” (PMS)

(i)         Ensure smooth running of PMS for daily operation

Ø   Regular QC on functions of PMS, and escalate any issues to IT/vender in a timely manner until unresolved

Ø   As key contact between sales force/IT for any operational issues

Ø   As key contact between SwP/vender for any technical issues

Ø   To provide routine administration support and troubleshooting for all users, and to issue internal “incident alert” whenever needed until problem fixed

(ii)        To perform Account setup and maintenance in PMS

Ø   To manage User Account list for SwP and AXA Users

Ø   To create access right for new consultants as well as internal staff according to the authority level.

Ø   To terminate the access right whenever there is consultant/staff departure.

Ø   To change the access right whenever there is any role change for consultant/staff.

Ø   To re-set quota for WM/CR reports

(iii)     To perform Client Data maintenance in PMS

Ø   To create and maintain client record (SCID) in the system.

Ø   To perform deduping and create new records for new clients.

Ø   To reconcile and merge client records whenever necessary.

Ø   To update opt-in and opt-out request by clients.

Ø   To update “Don’t re-assign” flag upon request

(iv)    To perform Policy Data maintenance in PMS

Ø   To perform client mapping and update AXA CR policies in the system in order to have a full client relationship management record.

Ø   To update client information for absolute policy assignment cases.

§  Provide support for lead/campaign/orphan management

(i)       To handle Client/Lead management and assignment in PMS

Ø   To create new records for new clients in the system.

Ø   To update new servicing consultants of respective lead in PMS.

Ø   To handle pending lead retrieval and re-assignment including those departed consultants.

Ø   Re-direct service lead from Client Relationship Team (CRT) to SwP consultants and update system accordingly.

(ii)    To handle Campaign/Event management in PMS

Ø   To create new campaign/event records in PMS.

Ø   To upload client participation list for marketing campaigns and events to the system in order to have a full client management record.

(iii)   To handle orphan re-assignment and Orphan Retrieval program

Ø   To generate pending orphan records for policy re-assignment.

Ø   To update the new servicing consultant to the assigned orphan policy record in the system according to Orphan Management Guideline.

Ø   To issue client letter regarding consultant termination as well as policy re-assignment.

Ø   To prepare orphan retrieval list in accordance with established criteria, and work with PCRM Team manager to complete orphan re-assignment process in PMS

§  As back up for sales support functions

Ø   To be familiar with daily “SMS” duties and provide back up/relief support whenever needed

§  Prepare manual Client “Portfolio Review Report” for policy review

Ø   Timely generation of manual CR reports with focus on data accuracy prior to full automation.

Ø   Support generation of manual WM/CR reports in event of system unavailability.

§  Database maintenance & Management reporting

Ø   Ensure all updates in PMS with proper documentation/approval on file and for audit trail.

Ø   Prepare daily/MTD usage/data export reports for management review.

Ø To extract data from PMS for preparing of various reports for management review.



·         University graduate preferable

·         Min 3 years working experience with exposure in Insurance industry preferred

·         A team player, can work under pressure and tight timeline

·         Proficiency in computer operational knowledge

·         Working knowledge of AS400 & CRM would be an advantage

·         Good interpersonal and communication skills

·         Good analytical and problem solving mindset
